Today's Action Items

Step 1: Annual Strategy Meetings (Required)

  • Book the Annual Strategy Meeting within a few weeks of when you finalize the client’s tax return next year.

  • Use TaxPlanIQ’s Actual vs. Projected tool to show results from the prior year.

  • This prevents fee complaints and proves the ROI of your services.

 

Annual Meeting Agenda Template:

  1. Check-in: “Tell me any updates and how are you?”

  2. Share what’s new in your firm (new team members, processes, etc.).

  3. Review the ROI Report: last year’s projections vs. actual results.

  4. Discuss any pricing or package changes you recommend.

  5. Upsell Opportunity: If higher-level planning or a new phase of services is available, upsell them into it. If you need more info, schedule a separate follow-up meeting once you’ve gathered details.

  6. Ask if the client has any questions or concerns.

  7. Ask how they would rate your service (0–10, NPS style) and what’s one thing you could improve.

  8. Address results & expectations:

    • You cannot guarantee tax savings, but you can offer a satisfaction guarantee.

    • If you missed something, make it right (refund, credit, or adjustment).

    • If the client didn’t follow through, have a candid conversation about expectations and whether to continue together.


 

Step 2: Quarterly Client Updates

 

  • For most clients: this is not a meeting.

  • Ask clients to notify you of income, deduction, or credit changes of several thousand dollars or more.

  • Document the request.

  • Send a revised projection using your workflow software or document storage.

  • For Concierge-level clients: quarterly calls may be included in their package.


 

Step 3: Rinse & Repeat the System

 

  • Continue down your client list.

  • Upload additional 1040s into TaxPlanIQ.

  • Run RAP to identify new opportunities.

  • Repeat the 10-day process for each client.

  • Goal: Every client should go through this system at least once per year.



Step 4: Celebrate & Stay Proactive

 

  • Post in the Facebook group:

    • [WIN] – Share your biggest aha moment or success from the challenge.

    • Share how many tax plans you’ve created, closed, or have in progress.

  • Mark your calendar for the next client check-in based on your engagement agreement.

  • Pro tip: Send a monthly “How are you doing?” email (automated or customized by a project manager). This small touch will make you stand out as a true concierge tax advisor.
